6-100 - Social Media

  1. Scope

    1. Social media are defined as all methods of online interaction external to the College web pages, including but not limited to social networks (Facebook, Twitter, YouTube, LinkedIn, etc.), blogs, virtual worlds, and wikis.

    2. While Dixie State College of Utah encourages participation in a vibrant online community, the College disclaims any responsibility for inaccurate or misleading information (including copyright violations, slander, libel, defamation, and invasion of privacy) on social media sites.

      1. The responsibility of such actions rests on individual posters.

      2. Accessibility and security of external webpages is the responsibility of service providers, not the College.

    3. This policy applies to social media accounts created for the purpose of officially representing Dixie State College of Utah and its departments, programs, entities, groups, clubs, etc., and does not apply to individual or private social media accounts.

  2. Policy

    1. Dixie State College of Utah authorizes entities to use various social media to accomplish assigned goals within the scope of their charters, insofar as the College is represented in a fair, accurate, and legal manner that protects its brand and reputation, and under the following conditions:

      1. The primary purpose of a social media account authorized by the College shall be furtherance of the Collegeís mission.

      2. All social media accounts representing the College must be specifically authorized by the College, and all relevant College policies must be followed, including technology policies.

      3. Social media accounts will only be authorized for sanctioned entities, not individuals.

      4. This policy does not authorize entities to enter into advertising agreements with social media sites. College employees do not have permission or authority to place advertising on social media sites without the approval of the Public Relations department and the appropriate vice president overseeing the entity.

    2. Social media accounts for college entities should be listed under the official DSC page in that social media format whenever possible, and all officially-recognized social media accounts will be publicly listed on the DSC Social Media website.

    3. Use of the Institutionís marks and brands must fall within approved guidelines and policies.

    4. Social media accounts may not use the Institutionís name to promote any product or cause other than those which fall within the groupís charter or responsibilities. Representation of personal opinions as being endorsed by the College or any of its organizations is strictly prohibited.

    5. Each platform or page of social media must include the following:

      1. Prescribed disclaimer statement.

      2. Link to this policy.

      3. Link to DSC homepage

      4. Link to Public Relations Office contact information for complaints or concerns.

    6. The primary administrator as defined below is responsible for monitoring the content on the social media account, and removing content that violates this or any other College policy. Individual posters to any social media account have personal responsibility and liability for their own posts.

  3. Content

    1. All federal, state, and local laws and regulations must be followed, including but not limited to:

      1. Copyright law must be strictly obeyed.

      2. Family Education Rights and Privacy Act (FERPA), Health Insurance Portability and Accountability Act (HIPAA) and all other personal privacy laws and policies must be strictly followed, especially regarding the use of any individualís name, image, or personal data, and all confidential and proprietary information must be protected.

    2. Language or other content that is threatening, defamatory, illegal, obscene, pornographic, infringing of intellectual property rights, invasive of privacy, profane, libelous, harassing, abusive, or hateful or to any person or entity, is unacceptable and must be removed by the user or by an administrator as provided within this policy.

  4. Administration

    1. Each social media account must be primarily administered by a full-time DSC employee who shall manage and monitor content to ensure compliance with DSC policies and remove content that violates policies, regulations, or laws. The primary account administrator shall be responsible for the accuracy and appropriateness of content on that site.

    2. Each social media account must include a designated full-time employee or designee of the Public Relations department as a second administrator. The secondary administrator has the right, but not the responsibility, to remove inappropriate, offensive, injurious, or illegal content and/or to shut down any social media account that violates this or any other College policy.

    3. Student organizations that wish to have a social media presence must be officially recognized by the Office of Student Involvement & Leadership.

  5. Best Practices

    1. Participants are advised to follow the DSC Best Practices for Social Media website in order to create successful social media accounts and retain the privilege of authorized DSC social media use, including obeying the Terms (or Conditions) of Service for each social media platform.

    2. Due to continual innovations in social media, participants are required to regularly refer to the DSC Best Practices for Social Media website.
