    The Federal Work-Study program was authorized and funded by the United States Congress in 1965 for students with documented needs for help with college expenses. In addition to providing Dixie State College students with financial assistance, FWS helps the college by enabling departments to employ undergraduate students at a cost to the institution of twenty-five percent of the gross payroll. The federal government pays the remaining seventy-five percent.

    The UCOPE Work-Study program was authorized by the Utah Legislature in 1997 for students with documented need for help with college expenses. UCOPE funds from the state pay one hundred percent of the student's earnings.

    At Dixie State College, only the Office of Financial Assistance may award work-study funds to students. Work-study employment is part of a student's financial aid package and cannot be awarded unless the student has submitted a financial aid application and has documented need.

    Because of limited funds, students should apply for financial aid early if they wish to qualify for work-study. Applications should be submitted as soon as possible after January 1 for the following school year. Work-study awards are made on a first-come, first-served basis.

    It is important that the student consider the work-study position as a regular job with normal duties and responsibilities. One must also understand these positions do differ from others in several ways.

    First, work-study jobs usually allow the student flexibility in scheduling work hours. The student should work with the supervisor to coordinate a work schedule and meet that schedule. Remember to discuss any schedule changes with your supervisor by the first day of class each semester.

    Secondly, because work-study is a part of your financial aid package, federal and state regulations prohibit student's employed through work-study from receiving more financial aid than the amount allowed by their documented student need.

The Office of Financial Assistance must sometimes revise awards for students who receive additional resources. Therefore, we cannot guarantee the permanency of a student's work eligibility.

A normal work week for students is 12 to 15 hours. Work-study salaries begin at $6.75 per hour and range upward according to skill and experience.

Students must have and maintain a semester and cumulative grade point average of at least 2.0 and be registered for at least six credit hours to be eligible for work-study. Students employed through the America Reads Initiative must maintain a semester and cumulative GPA of 3.0 or above. In special circumstances, these rules may be appealed by petition.


Notification of Work Awards

Students are notified by their notification letter of their work-study award. Those students receiving a work-study award are eligible to interview for available positions.

The offer of a work study award is only an offer, not a guarantee that there will be a position available for you.

IF HIRED, THE STUDENT MUST MEET WITH THE WORK-STUDY COORDINATOR TO COMPLETE A WORK-STUDY CONTRACT, I-9, W-4, AND PAYROLL ACTION FORM. THIS MUST BE DONE PRIOR TO THE STUDENT'S FIRST DAY OF WORK.


FWS/UCOPE-WS Orientation

Throughout the year work-study employee orientations are conducted. All work-study employees should attend one of these orientations soon after being hired. Student employees will be paid for this time.


Pay Periods

The pay period for all work-study employees begins the 21st of each month and ends the 20th of the following month. Work-study employees are paid the last day of the month. Should the last day fall on either a Saturday, Sunday or holiday, the employee will be paid on the prior business day.

All completed and signed time cards must be submitted to the Payroll Office, by the work-study supervisor, no later than the 20th of each month. A late time card will delay the student's pay check until the next pay day. The individual department may request a manual voucher be paid on a late time card, but the department will be charged $25.00 for each manual voucher request. This request must first be approved by the Payroll Department.


Appearance

Student employees are expected to dress neatly and appropriately for an office. Students should not wear any short mini-skirts, short shorts, cut-offs, ragged jeans, tank tops or midriff tops, etc. Students employed through the America Reads Initiative must follow the dress code for teachers at the school in which they are employed.


Absences

Student employees need to notify their supervisor when they will be late for work or absent. Tell your supervisor in advance if you know you will be absent.


Conduct

Extended conversations and socializing can be distracting in a work environment. Please discourage friends and family from visiting you at work.

Please do not do your school work during work hours.

It is important that you understand that you can be terminated for any of the following reasons:

  1. Working under the influence of alcohol, stimulants, or any other drugs;

  2. Missing work for two consecutive days without notifying your supervisor;

  3. Reporting more hours on your time card than you actually work;

  4. Violation of Dixie State College's policy on confidentiality of student/employee records;

  5. Working during a scheduled class/exam.


Confidentiality of Student/Employee Records

An important responsibility of Dixie State College is confidentiality of student/employee records. Records must be treated confidentially and professionally. They may be discussed only with individuals authorized to have access to such records. It is recommended that all Work-Study employees complete the FERPA tutorial at ferpa.dixie.edu

Violations of the Dixie State College policy on confidentiality of student records is a violation of the Student Conduct Code and constitutes grounds for termination.

Any student employee who provides confidential information from their office to anyone outside the department will be terminated immediately and referred to the Dean of Students Office for expulsion from the college.

Follow these guidelines to prevent pressure on yourself concerning access to records:

  1. Do not let friends, relatives or acquaintances know you have access to confidential data;

  2. Do not use computer terminals or files for any purpose other than to perform functions assigned to your by your supervisor;

  3. Report to your supervisor anyone's attempt to gain unauthorized access to information.


Earning Your Award

You may not earn more than the amount approved on your work-study contract. You and your supervisor will be notified monthly of your earnings to date and remaining eligibility.


Giving Notice

You should give your supervisor at least two weeks notice if you plan to end your employment.


Injuries

If you are injured while at work, please report immediately to your supervisor. If you need to seek medical treatment, you need to go to the following clinic :

We have contracted with this clinic to handle all our worker's compensation injuries. If it is after 8:00 p.m., then you should go the emergency room at Dixie Regional Medical Center. Please do not go to your personal doctor for this initial visit.


Public Relations

Take pride in your position at Dixie Sate College. The impression you make may influence the attitude of visitors. Listen carefully and give clear and polite responses. Call people by their first names if possible. Be considerate of other's feelings.


Questions

Don't be afraid to ask questions or ask for help. It is better to admit you don't know something but are willing to learn than to give someone incorrect information.
